However, senders who are quite successful in sending small items in letters claim that it is possible to transport such attachments if the items are not clearly palpable in the envelope. This is achieved by simply wrapping the object with cardboard, several layers of adhesive tape or thick paper.

How to send a simple email

Depending on the type of sending, letters can be registered, simple, express, letters with a declared value or with notification. The step-by-step procedure for sending them is approximately the same, with the exception of some features. Consider, using the example of a simple postal item, how to send a letter by Russian Post:

  • Sending any letter is carried out from the nearest branch of the Russian Post, the address of which can be found on the official website of this organization. A simple letter can also be dropped into a street mailbox.

  • district (if it is present in the address);

    In the lower window, 6 digits are filled in, corresponding to the sender's post office index.

  • In the same order, information about the recipient of the letter is entered in the lines of the field located in the lower right corner of the envelope.
  • In the field for the digital index (lower left corner), the recipient's post office index is entered along the contour.
  • After filling in all the required fields, an attachment (letter, postcard, etc.) is placed inside the envelope, the envelope is sealed.

A simple letter, the weight of which does not exceed 20 g, is sent in a postal envelope without additional payment and gluing additional stamps. However, if the weight of the item is greater or the letter is supposed to be delivered outside the country, then before sending the letter by Russian Post, you should contact the operator, who will weigh the letter and stick the stamps, in accordance with the price of the item.

This type of forwarding is considered one of the most reliable, as a valuable letter must be assigned registration number, which means that it is subject to tracking on the way to the addressee. In addition, if suddenly the letter is lost, the sender receives a refund from the post office in the amount of the declared value.

And how to send a registered letter by Russian Post, if it needs to be supplemented with an inventory of an attachment with a declared value? In addition to buying and filling out an envelope (there is no need to seal the letter), the sender will need to contact the post office operator to draw up an inventory:

  • It is filled in by the sender in two copies on special forms f-107. The inventory must contain a detailed list of all the papers sent in the letter, indicating their estimated value.
  • The mail operator checks the contents of the attachment against the list.
  • Each copy is signed by the operator who accepted it and the sender.
  • One copy is given to the sender in his hands, the second is put into an envelope along with the sent papers.

If there are blank cells left, it is allowed to put a dash. And if, on the contrary, there was not enough space to fill out, then it is allowed to continue on the second sheet of the form and make notes, for example, “Sheet 1 of N”, “Sheet 2 of N”, etc. The total of the quantity and amount must be given in total, for all documents enclosed in the envelope. Again, such a chain of forms must be completed in duplicate.

Important! Corrections on the form of the inventory of attachments to a valuable letter are not allowed!

What is declared value?

Since the inventory is needed as a fact of reporting, and according to the rules it is invested in a valuable letter, our shipment must be evaluated. Each nested unit is evaluated separately, and the evaluation amount is assigned to the entire letter. You can not assign value, but put a dash.

It should be written on the envelope: “With an inventory, the value of XX rubles.”

If suddenly the letter is lost, then the mail must return the amount of the declared value to the sender or recipient.
For forwarding the letter, the operator of the mail room will take an additional + 4% of the amount of the declared value.

How to send an email with an attachment description?

You need to contact the operator of the operating room of the Russian Post with:

  • unsealed envelope,
  • documents included in it
  • two completed inventory forms,
  • the amount of money in the wallet for the transfer.

The operator will check the data entered in the form with the envelope, the correctness of filling out the inventory and the envelope, put a stamp on each sheet of the inventory with the date of acceptance, sign on each and give one copy to the sender along with a receipt for payment.

How to send

  1. Buy any envelope right size, attach the letter and write the address . You can buy an envelope at the post office.
  2. Give the envelope with the letter to the post office employee and state the amount of declared value in rubles that you want to receive as compensation in case of loss or damage to the letter.
  3. If you need a notification of receipt, take the notification form on the table at the post office (for shipments within Russia - the form f. 119, for shipments abroad - the CN 07 form), fill it out and give it along with the letter to the Postal employee.
  4. If you need an inventory of the attachment, fill out 2 copies of the inventory form (f. 107) and send it along with the letter to the operator. Or fill out the forms on the website.

Registered mail

This is especially important when it is addressed to state bodies in order to protect rights in judicial and other instances.

Postal employees register registered letters under a track number, which serves to track from the place of sending to the place of delivery to the addressee. If you have to resort to legal proceedings, you can make a request for such information at the post office. Having received a registered letter, the addressee signs the notification, then the postal worker who delivered the letter also signs the notification and puts a postmark.

According to the type of shipment, notifications are also divided into simple and registered. A simple type notification is not subject to registration and is not taken into account, it is simply thrown into the mailbox. A custom-made notice is attached to and sent with the mail packet and is only received at the post office.

When incoming registered mail arrives at the addressee's post office, mail employees deliver it either to the specified address or to the post office box along with a special notice (form 22). In the notification, the recipient is informed about the correspondence that has come to his name, which is subject to registration. To receive it at the post office, the recipient must present 3 documents: a notice, a passport and a power of attorney (if the addressee is a legal entity).

Valuable letters

Very often, legal entities - enterprises, organizations send various valuable documents using mail services. Forward financial statements (tax returns), statements of claim, claims and demands.

For more reliable protection from the risks of losing letters due to the fault of postal employees, there is a way to send valuable letters with declared value. This correspondence is also registered. When sending the application, it is mandatory to declare the value of the documentation, that is, the amount that will be paid in case of loss or damage to the documentation. Receipt of a valuable letter by the addressee is possible only at the post office by presenting a notice. The postal service does not deliver or hand over valuable correspondence to the address of residence or location of the recipient.

Rules for filling out attachment descriptions

The acknowledgment of receipt is the actual proof of receipt of the letter, however there is no proof of the list of documents attached to this letter. The way out of this situation is to send a valuable letter with a description of the attachment and a return receipt. To arrange for such a transfer, you need to prepare a completed form in form 107, which guarantees the delivery of the documentation in full. It is filled in advance before sending the letter.

A postal inventory of the attachment is attached exclusively to valuable letters, but not to registered ones. In addition, it is used in the design of parcels and parcels.

By entering any post office, the sender has the opportunity to take an unlimited number of forms. A more convenient way is to download the attachment postal inventory form by filling it out in advance.
There are rules for completing this form. Prepare 2 copies of the form, and without allowing corrections.

In its upper part, the type of departure is noted (letter, parcel, parcel). In reality, it will look like this: 46.00 ₽ + 2.50 ₽ + 2.50 ₽ = 51.00 ₽, excluding VAT;

    As a result, we get the amount of 51.00 rubles, which represents the total cost of sending a registered letter from the example, excluding VAT, the cost of an envelope and gluing stamps.

There are also first-class letters, and they are also plain, valued, and registered.

First-class letters are expedited letters, the delivery of such letters takes place on the shortest routes. Due to this, the delivery time of such letters is much shorter than the delivery period of standard letters. The following parameters of letters of the 1st class are acceptable - the smallest size is 114x162mm, the largest is 250x353mm, the weight limit is no more than 0.5 kg.

Prices for sending class 1 letters depend on the place of departure and weight, the distance of forwarding does not affect the cost in any way. Therefore, the cost of a registered letter of 1st class will depend only on its weight and the place of departure.

Post offices have separate mailboxes for receiving class 1 letters, the withdrawal of letters from them occurs much more often than from simple boxes. For the fastest sorting, Class 1 letters are always sent in envelopes with a yellow border and the "First Class" logo.

If you need to send something very valuable, then there is such an additional service as an inventory of the letter attachment. Such an inventory is filled out in two copies in accordance with the form 107 of the Russian Post. One copy remains with you, the second, along with the letter, is sent to the recipient.
